View Unapplied Balances from Payments in NetSuite

in , , April 25th, 2025

One of our clients wanted an easy, transparent way to view payments with unapplied balances in NetSuite, especially segmented by customer and document number.

This is easily achieved by creating a transaction saved search in NetSuite. Below, you will find the required information to build one out.

If you need a refreher on how to work with NetSuite Saved Searches, check out this NetSuite Saved Search Guide (and video tutorial) that my teammate Caleb created back in October of 2022!

Solution: Transaction Saved Search in NetSuite

Step 1: Create a transaction saved search

NetSuite Saved Search Criteria

  • Type = Payment
  • Amount (Credit) = is not empty
  • Main Line = False
  • Amount Remaining = is greater than 0.00

NetSuite Saved Search Results

  • Date (Group)
  • Status (Group)
  • Name (Group)
  • Document Number (Group)
  • Amount (Credit) ((Group))
  • Applied to Link Amount (Sum)
  • Amount Remaining (Group)

Step 2: Results should conform to grouping, displaying customer, document number, and respective payment applied/unapplied amounts.
