Prevent Contacts Created from a NetSuite Record from Auto-Populating Email and Phone

in , , January 4th, 2025

When you create a new contact from within a customer or vendor record, native NetSuite functionality auto-populates the email address and phone number that are on the customer or vendor record into the new contact.

Solving this Problem for a Client through a NetSuite Workflow

One of our clients wanted to prevent this from happening by making the fields on the new contact blank, thus making it easier to enter the specific contact’s information.

To solve this problem for our client, we implemented a NetSuite workflow to set the field values for new contacts to blank. Here is how we did it.

Workflow to Prevent New Contacts from Auto-Populating Email and Phone

Step 1: We created a workflow with the following definitions:

  • Record Type = Contact
  • Event = On Create
  • Trigger Type = All
  • Contexts = All
  • Condition = Company is NOT empty

Step 2: We added a single state to the workflow with the following actions

  • Set Field Value EMAIL = NULL
  • Trigger On = Before User Edit
  • Event Types = All
  • Contexts = All
  • Set Field Value PHONE = NULL
  • Trigger On = Before User Edit
  • Event Types = All
  • Contexts = All
